Line up a DJ, band, or rent equipment for our own sounds. Make sure all is setup and broken down.

Call and reserve/line up - need 2 cops from 5-10 PM
Make sure they are paid. Ensure Port-a-let is delivered on time and setup - papertowels, candles, etc.

| Guest List ($$) |
Accept all guest reservations and money. Keep a typed list and coordinate by email with Chairperson. All monies will run thru the Springwood Assn. checking acct. (See Treasurer of Assn.) Make nametags day of event. Provide master list for check-in table.

| Permit/Event Insurance |
Permit has to be obtained 10 days in advance. $5 Need details
Event insurance ??? we have not had before but need to have now.
Get permissions signed by the houses on the cul-de-sac: Blackwells, Walsh,
Cokers, Walkers, Browns. |
| Communication |
Create and deliver flyers to all mailboxes. Email neighborhood. Put up signage reminders and take down signs afterward.
Send out anything for any of the other committee folks: requests for tables, chairs, igloos, etc. |
Chairs/Tables/Igloos/Tent/
Garbage cans |
Line up about 6 food table and 4-5 guest tables and as many chairs as possible. Make sure all are delivered to site day of party and that EVERYTHING has a name on it. Maggie & Tom Chapman have a wonderful tent - call and line up that as well. Need a minimum of 3 large garbage cans. Contractor bags. A man with a truck to put bags in and make a dumpster run. |
| Lighting/Electricity/Firepit |
Need lights for tent; cooking area; wine beer area; Port-a_let area. Use decorative lighting and tiki torches.
Some sort of light - candle or lantern for check-in table
Get all extension cords set-up. (make sure all have owner's name on it)
Ensure that wood for a large bonfire is gathered. Also borrow a firepit or two. Have a fire extinguisher/hose solution nearby as required by permit.
Arrange chairs around fire areas. |
Cooking/Menu

Agree on menu with committee. Coordinate setup and breakdown. Ensure all supplies are purchased, condiments, and eating utensils, warming dishes, etc.

| Cleanup - During & After |
Ensure that NO alcohol stays on premises overnight. During party check garbage situation - make sure full bags are tied up and disposed of. All/most food items are cleaned out at end of party.
Morning after - line up return of chairs, tables, tents - someone with a utility trailer can load everything and drop off at various households. |
| Beer/Wine/Ice |
Purchase all beer, wine, water, soft drinks. Ice day of party. Load igloos midday and label tops. Setup wine tables. Corkscrews. Glasses. Need an SUV parked nearby where all non-iced beer/wine is stored. Keep this locked as we had some cases walk-off during the 2010 party. Make sure igloos are kept stocked. Make a sign for SUV window that lets folks know who to find when levels are low. |
